Our Brampton location is presently looking for an Administrative Assistant to join our Operations team.

Execute administrative functions for the VP, Head of Manufacturing. This individual is responsible for, generating various departmental reports, coordinating meetings and special events, ensuring department projects are completed on time and dealing with confidential correspondence, files, and projects.  All other projects supporting the Operations group as well as support to the VP, Head of Quality and VP, Head of Operations will also be required.

Principal Duties and Responsibilities :

  • Completion of all administrative activities for the VP, Head of Manufacturing including maintenance of confidential correspondence, files, and calendar.
  • Ensure departmental activities are completed on time.
  • Prepare and distribute a variety of reports and presentations.
  • Coordinate and complete various special projects/assignments, including reports of a confidential, sensitive and critical nature as required.
  • Process non-inventory purchase orders, co-ordinate accounting functions such as expense reports and processing invoices for payment.
  • Frequent day to day interaction with various employees and departments.
  • Draft replies/responses to emails and other correspondence as assigned.
  • Review documents required for VP, Head of Operations signature to ensure completeness, monitor for return and process accordingly.
  • Coordinating meetings and taking minutes.
  • Document and file reports.
  • Periodic reception relief
  • Coordination of special functions as required.
  • Interaction with departments in US and Israel to obtain necessary information  
  • Liaising with department heads to gather data for presentation/reports as required
  • Other duties as assigned

Knowledge, Skills and Abilities

  • College Diploma or combination of education and relevant experience.
  • Minimum three (3) to five (5) years of administrative experience supporting a senior level executive
  • Related work experience in the pharmaceutical industry is an asset.
  • Strong communication (oral and written) skills.
  • Multidisciplinary office and manufacturing environment experience.
  • Excellent organizational, and presentation skills
  • Able to work in a team environment
  • Excellent communication skills, both verbal and written
  • Proficient with MS Word, Excel and PowerPoint
  • Excellent initiative
  • Detail oriented
  • Confidentiality and the ability to effectively communicate with employees at all levels
